Post approval before publishing

Axis Social includes an optional approval step that takes place before a post is scheduled or published.

In Studio, you can send a draft for approval. While a post is pending approval or has changes requested, the Publish and Schedule actions are blocked. Once the post is approved, anyone with the appropriate permissions can schedule or publish it.

Approval permissions are available to owners, admins, and editors. Moderators and viewers cannot approve posts. Once a post has been scheduled, it will be published at its scheduled time without another approval step. There is no second sign-off required before a scheduled post goes live.

For this reason, any review or approval must be completed before the post is added to the calendar.

Troubleshooting

If content is stuck or fails, first identify whether the issue is with AI media generation or post publishing. The same statuses can mean different things.

AI Media Generation

Processing

The AI provider is still generating the image or video. Video generation may take a few minutes.

What to do:

Wait for processing to complete. Axis Social automatically reconciles missed provider updates, so content should not remain stuck indefinitely.

Failed

The failure reason is shown on the asset in the Media Library

  1. 1

    Upload failure: Select Retry

  2. 2

AI generation failure: Re-run the generation from Studio

  3. 3

If the provider never started the job, your credits are automatically refunded

  4. 4

If the provider started the job before it failed, credits are not refunded

Post Publishing

Processing

The post is currently being published to your social platforms. The caption is locked while publishing

Partial

The post was published to some platforms but failed on others. Open the post to see which platform failed and why

Failed

None of the selected platforms accepted the post

Common causes include:

  1. 1

    A disconnected social account

  2. 2

    Media that doesn't meet a platform's requirements

  3. 3

Unsupported media combinations, such as mixing images and video where a platform doesn't allow it

First Check: Account Connection

For any publishing failure, go to:

Settings → Workspaces

If the affected account is disconnected, reconnect it and then recreate and schedule the post

Credits

AI content generation consumes credits. The number of credits used may depend on factors such as:

  1. 1

The type of content being generated

  2. 2

Whether the generation produces an image or video

  3. 3

    The AI model used

  4. 4

Credit Usage

The credit usage section is displayed at the top of the Media Library. Use this area to monitor the credits associated with your media generation activity.

This gives you visibility into your usage while working with AI-generated content.

What are Credits?

Credits are the currency used for AI media generation in Axis Social. You use credits when you generate AI-powered images or videos.

Credits are only consumed when Axis Social sends an AI media-generation request to a supported model.

The number of credits required for a generation depends on the AI model you select and, for video generation, the length of the video. You'll always see the credit cost next to the selected model before generating, so you know how many credits will be used before you confirm.

What Uses Credits?

Credits are used only for AI media generation.

Who Uses the Credits?

Credits belong to the workspace, not individual users. Everyone in the same workspace shares the same credit balance. There is no separate credit balance for each team member.

What Happens When Credits Reach Zero?

When your workspace has no credits remaining, AI media generation is temporarily blocked.

If you try to generate media without enough credits, Axis Social will show a message explaining:

  1. 1

How many credits the generation requires

  2. 2

How many credits are currently available

How to Get More Credits

If you run out of credits, you have two options:

  1. 1

Top-Up Credits- Purchase additional credits to continue generating AI images and videos.

  2. 2

Upgrade Your Plan- Upgrade your Axis Social plan if you need a larger or ongoing credit allowance.

You can manage your credits and billing from:

Settings → Billing

Frequently Asked Questions

  • Do Credits Expire?

Credits roll over. They do not reset at the end of each month.

  • Do I need credits to use AI captions?

No. AI captions are free and do not consume credits.

  • Can different team members use the same credits?

Yes. Credits are shared at the workspace level, so all users in the workspace draw from the same balance.

Quick Actions

The Media Library provides shortcuts that allow you to create or add media without leaving the library. You can Upload to add media directly from your device, Use Generate to create new AI-powered media and Use the search functionality to find media based on the prompts associated with generated content.

Step 9: How to Plan and Schedule Social Media Content

The Content Calendar provides a central view of your social media content, allowing you to track and organize posts according to their current status and scheduled publishing dates. You can filter content by status and change the calendar view to focus on a specific month, week, or agenda.

Inbox

The Inbox provides a centralized workspace to manage and respond to customer interactions across all your connected social media platforms.

The Inbox brings conversations and interactions from all connected social media platforms into one workspace. By default, interactions from all platforms are displayed, but you can filter them by platform or connected account.

From the Inbox, you can:

  1. 1

View and respond to direct messages (DMs)

  2. 2

Monitor and respond to comments on your social content

  3. 3

Select and manage different connected social media accounts

  4. 4

Manage customer conversations from a single, centralized workspace

  5. 5

Train and AI agent to help with comments and DMs

Use the AI Agent to Assist with Engagement

The AI Agent can assist your team with customer engagement by helping respond to messages and comments in line with your brand and communication style. If you set up and trained an AI Agent during the initial setup, you can use it directly from the Inbox.

Step 10: How to Set Up Social Listening

Listening helps you discover and understand what people are saying about your brand, products, competitors, and topics across social media, news, reviews, and the wider web.

Create monitors to define what you want to track, choose where you want Axis Social to listen, and refine your signal to surface the conversations that matter.

From Listening, you can access:

  1. 1

Inbox – Review and manage incoming conversations

  2. 2

Needs review – Find mentions and conversations that require attention

  3. 3

Analytics – Analyse listening data and identify trends

  4. 4

Incidents – Monitor and investigate significant spikes or issues

  5. 5

Dashboards – Visualise listening data and performance

  6. 6

Delivery – Manage how listening results are delivered

  7. 7

Taxonomy – Organise and classify the conversations and data you collect

About Listening

Listening gives you visibility into conversations happening about your brand and topics that matter to your business.

Instead of checking individual platforms manually, you can create a monitor that continuously tracks selected topics and sources.

Use Listening to:

  1. 1

    Monitor your brand and products

  2. 2

    Track conversations about specific topics

  3. 3

    Discover customer feedback and sentiment

  4. 4

    Monitor competitors and industry conversations

  5. 5

Identify emerging issues and potential incidents

  6. 6

    Track mentions across multiple channels

  7. 7

Discover conversations outside your owned social accounts

What you need to know

Listening is built around monitors. A monitor defines what Axis Social should look for and where it should look. When creating a monitor, you define:

  1. 1

What to track – The keywords, phrases, brands, topics, or other signals you want to monitor

  2. 2

Where to listen – The platforms and sources where you want Axis Social to find relevant conversations

  3. 3

Your signal – Refine your monitoring criteria so you receive relevant results and reduce unwanted noise

Available listening sources can include: Instagram, Facebook, X, Reddit, News, TikTok, LinkedIn, Open web and Reviews.

Where to begin

Start by creating a folder if you want to organize multiple monitors. Folders can help you group monitors by: Brand, Product, Campaign, Market, Competitor, Topic, Customer or business unit.

Why create a monitor?

A monitor allows you to continuously track conversations that are important to your business. Without monitoring, teams may need to manually search multiple platforms to find relevant mentions. With a monitor, you can bring those conversations together and use them to:

  1. 1

    Understand what customers are saying

  2. 2

    Identify emerging conversations

  3. 3

    Find potential reputation issues

  4. 4

    Discover customer feedback

  5. 5

    Monitor competitors

  6. 6

    Track campaign or product conversations

  7. 7

Identify trends across social, news, reviews, and the open web

How to create a monitor

1. Create a monitor

  1. 1

    Open Listening

  2. 2

    Select Create monitor

  3. 3

Give your monitor a clear name

  4. 4

Select or create the folder where you want to store the monitor

2. Choose what to track

Define the conversations you want Axis Social to find. You can track relevant: Keywords, Phrases, Brand Names, Product Names, Topics, Competitor names and Campaign terms.

Use specific terms where possible to make your results more relevant.

3. Choose where to listen

Select the sources where Axis Social should look for relevant conversations.

You can select multiple sources to create a broader view of the conversation.

4. Refine your signal

Refine your monitor to make sure Axis Social finds the conversations that matter and filters out irrelevant results. Use your monitoring criteria to narrow the signal and reduce noise.

For example, if a keyword has multiple meanings, add additional terms or criteria to help distinguish relevant conversations from unrelated ones.

5. Create the monitor

Once you have defined what you want to track, selected your sources, and refined your signal:

  1. 1

    Review your monitor settings

  2. 2

Confirm that the tracking criteria are correct

  3. 3

    Select Create monitor

Axis Social will then use your monitor settings to find relevant conversations across your selected sources.

Once a monitor is created, Axis Social will begin collecting relevant conversations in real time based on the criteria you have defined. You’ll receive real-time notifications both in-app and via email whenever relevant conversations are identified.

How to edit a monitor

You can update an existing monitor when your tracking requirements change.

  1. 1

    Open Listening

  2. 2

Find the monitor you want to update

  3. 3

    Select the monitor's Edit option

  4. 4

Update the tracking criteria, sources, or signal refinement

  5. 5

    Save your changes

Best practices

Don't try to monitor everything at once. Start with the conversations most important to your business and expand your monitor as needed.

Select the platforms and sources where your customers and audiences are most likely to talk about your brand or topic and review your results and adjust your signal when you see irrelevant conversations or missed mentions.

Analytics

Understand how your social content, conversations, and accounts are performing with Analytics in Axis Social. Analytics brings your social performance data into one place, helping you identify what is working, where you can improve, and what actions you should take next.

About Analytics

Analytics gives you a consolidated view of your social media performance across your connected accounts. You can analyze:

  1. 1

Posting performance – Understand reach, impressions, engagement, follower growth, and content performance.

  2. 2

Inbox performance – Monitor conversations, response times, response rates, and messaging volume.

  3. 3

Competitor performance – Benchmark your accounts against public competitor accounts.

  4. 4

Advertising performance – This is on our roadmap. Analyze paid and organic performance across Meta and TikTok.

Before using Analytics, make sure your social accounts are connected to Axis Social. The data available to you depends on the platforms you have connected and the data those platforms make available.

At the top of Analytics, you can also:

  1. 1

    Select a date range

  2. 2

Export your report as PDF, CSV, or PNG

  3. 3

Create a shareable link to your report

  4. 4

Use Ask your data to explore your analytics

Analytics helps you turn social media activity into actionable insights.

Ask your data

Ask your data lets you explore your analytics using natural language. Instead of manually reviewing individual charts, ask questions about your performance and Axis Social will explain the relevant data.

For example:

  1. 1

Which posts performed best this month?

  2. 2

Which platform generated the most engagement?

  3. 3

When is the best time for us to post?

What happens next?

Once you start using Analytics, use the insights to improve your social strategy and customer engagement.

For example:

  1. 1

Your content is performing well → Identify the posts driving the strongest engagement → Create more content based on what works

  2. 2

Response times are high → Identify busy periods and platforms → Adjust your team's workflow or coverage

  3. 3

One platform is outperforming others → Analyze what is driving the difference → Optimize your content strategy for that platform.

  4. 4

A competitor is outperforming you → Benchmark their performance → Identify opportunities to improve your content and engagement.

  5. 5

You need to explain performance to stakeholders → Export or share your report → Keep your team aligned with the results.
